Supervision is not a responsibility of this position. May oversee the work of student employees.

Position Summary

The Student Employment Support Specialist supports the operational administration of the
College’s student employment program. This position coordinates and executes employment-related processes, including recruitment support,
onboarding, data management, and offboarding activities, in compliance with federal, state, and institutional policies. Working in close
collaboration with the Student Employment Specialist, this role provides systems support within the applicant tracking and human resources
information systems, maintains confidential student and employee records, and serves as a primary point of contact for students and hiring
departments. The position requires strong organizational skills, sound judgment, attention to detail, and the ability to proactively manage
multiple priorities in a dynamic, compliance-driven environment.

Examples of Duties – Essential
Functions

1.

Student Employment
Operations

  • Coordinates and supports the hiring, onboarding, and separation processes for student employees in
    accordance with established procedures.
  • Reviews employment documentation for completeness and accuracy prior to processing and
    release to work.
  • Ensures positions are authorized and appropriately approved prior to posting in the Applicant Tracking System
    (ATS).
  • Communicates hiring steps, requirements, and deadlines to students and hiring departments to ensure timely
    processing.

2.

Systems & Compliance Administration

  • Administers
    student employment processes within the applicant tracking system (ATS), human resources information system (HRIS), and related
    platforms.
  • Maintains accurate student employment records and ensures data integrity across systems.
  • Ensures compliance with
    federal, state, and institutional policies related to student employment, including eligibility and documentation
    requirements.
  • Coordinates with Human Resources and Payroll to support accurate processing of employment records and
    transactions.
  • Reviews and updates student employment materials, handbook content, and web-based resources to maintain accuracy and
    consistency.

3.

Student & Department Support

  • Serves as a primary
    point of contact for students and hiring departments regarding student employment processes, procedures, and requirements.
  • Provides
    guidance to students on navigating the application and hiring process and may offer general feedback on application materials as
    appropriate.
  • Collaborates with department coordinators and supervisors to support effective implementation of student employment
    procedures.
  • Participates in outreach and engagement activities to promote student employment
    opportunities.

4.

Administrative & Operational Support

  • Provides
    administrative support for the Student Employment program, including tracking activities and processes, maintaining records, and supporting
    operational needs.
  • Supports routine departmental administrative functions such as purchasing, supply coordination, and documentation
    management.

5.

Other Duties as Assigned

  • May participate in college
    committees or workgroups as assigned.
  • Engages in professional development activities.
  • Performs other duties as
    assigned.

Screening
Criteria

1.

Minimum Qualifications

  • Education – An
    Associate’s degree in business, human resources, public administration, education, communication, or a related
    field.
  • Experience – A minimum of two (2) years of experience in administrative support, human resources, student
    services, or a related field involving coordination of processes, record management, and interaction with diverse stakeholders.

Only degrees received from an accredited institution will be accepted: accreditation must be recognized by the
office of degree authorization, US Department of Education, as required by ORS 348.609. Final candidate will be required to provide official
transcripts for required degree.

Any satisfactory equivalent combination of education and experience which ensures the
ability to perform the essential functions of the position may substitute for the requirement(s).

2.

Preferred
Qualifications

  • Experience working in a higher education environment.
  • Experience with applicant tracking
    systems, human resources information systems, or similar database platforms.
  • Proficiency in Microsoft Office Suite, particularly
    Excel and Word.
  • Experience supporting hiring, onboarding, or employment-related
    processes.

3.

Essential Knowledge, Skills, & Abilities (Core Competencies)

  • Knowledge – Knowledge of student employment processes, applicant tracking systems, and human
    resources information systems, including the coordination of onboarding, background checks, and employment documentation. Working knowledge
    of federal and state employment regulations applicable to student workers and general understanding of institutional policies and compliance
    requirements. Knowledge of data management practices, record retention standards, and confidentiality requirements related to student and
    personnel records. Proficiency in Microsoft Office applications, particularly Excel and Word, and familiarity with web-based platforms and
    database systems. Demonstrated understanding of professional written communication, business English, grammar, and standard office
    procedures.
  • Skills – Skill in coordinating multiple processes simultaneously while maintaining accuracy and
    attention to detail. Skill in interpreting and applying policies, procedures, and regulatory requirements to support compliant hiring and
    employment practices. Strong customer service and interpersonal skills with the ability to communicate effectively with students, faculty,
    staff, and departments. Proficiency in data entry, spreadsheet use, and navigating database systems. Strong organizational, time management,
    and problem-solving skills, with the ability to identify issues and follow through to resolution.
  • Abilities -
    Ability to maintain strict confidentiality and exercise discretion in handling sensitive student and personnel information. Ability to plan,
    organize, and prioritize work to meet deadlines in a fast-paced, detail-oriented environment. Ability to communicate clearly and
    professionally, both verbally and in writing, with diverse audiences. Ability to apply rules, policies, and procedures consistently and
    accurately. Ability to work independently while maintaining coordination with team members and cross-functional partners. Ability to adapt
    to changing priorities, systems, and operational needs.

4.

Other Requirements

  • For assignments requiring operation of a motor vehicle, possession of a valid Oregon Driver’s License or the
    ability to obtain one within 30-days of employment, and maintenance of an acceptable driving record are
    required.

5.

Remote Work Options (see AP 7239 Working Remotely for more details)

  • This position functions as an
    in-person work arrangement, working on-campus with either a set schedule or flexibility depending on operational
    needs.

6.

Physical Demands

The physical demands listed below represent
those that must be met by an incumbent to successfully perform the essential functions of this job. Reasonable accommodations may be made to

  • Manual dexterity and coordination
    are required for a significant portion of the work period to operate office equipment such as computers, keyboards, telephones, and other
    standard office equipment. The position is primarily sedentary, with extended periods of sitting and frequent computer use. Occasional
    standing, walking, reaching, and bending may be required in the performance of routine office tasks. The ability to move materials weighing
    up to 5 pounds regularly and up to 25 pounds occasionally (e.g., files, office supplies, or event materials) is required. The position
    requires the ability to communicate effectively, both verbally and in writing.

Working
Conditions

The work environment characteristics described here are representative of those an employee encounters while
performing the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the

  • While performing the duties of this position, the employee is primarily working indoors in an
    office environment. The employee is not exposed to hazardous conditions. The noise level in the work environment is usually moderate, and
    lighting is adequate.

Additional Posting Information

This is a Part-time
Classified, 19 hour per week (47.5%) position in the Student Employment Services department. Starting compensation is entry level for Group
5 on the 2025-26 Classified Wage Schedule.

Position will remain open until filled, with screening scheduled to begin

Public Service Loan
Forgiveness

Rogue Community College is considered a qualifying public employer for the purposes of the Public
Service Loan Forgiveness Program. Through the Public Service Loan Forgiveness program, full-time employees working at the College may
qualify for forgiveness of the remaining balance on Direct Loans after 120 qualifying monthly payments under a qualifying repayment plan.
